The Plain-English AI Glossary for Business Owners

On this page
Every AI term you'll actually encounter running a business, defined in plain English. No hype, and no jargon defined with more jargon.

AEO (Answer Engine Optimization)
AEO is the work of getting your business chosen as the answer when Google or an AI answers a question directly, instead of just listing links. Ranking #1 no longer guarantees the click — often the answer box gets it. Not to be confused with the customs term "Authorized Economic Operator," which shares the acronym.

AI agent
Software that can be given a goal — not just a question — and then figure out the steps, use tools, and finish the job. A chatbot answers you and waits; an agent books the appointment, updates the CRM, and tells you it's done.

AI Overview
The AI-written summary Google now shows above the regular search results for many questions. It answers the searcher directly and cites a handful of sources — being one of those sources is what AEO is chasing.

API (Application Programming Interface)
The doorway one piece of software offers so other software can talk to it — how your booking tool tells your CRM a job was scheduled. Every API is custom, which is why connecting tools has traditionally meant paying a developer for each connection.

Automation
Software that repeats the same fixed steps every time a trigger fires — form filled, text sent. Reliable for work that never varies, but it breaks or misfires when reality doesn't match the script. That's the line between automation and an AI agent, which can adjust.

Chatbot
Software that answers questions in a chat window and then waits for your next one. It talks; it doesn't do. Useful for FAQs, but most products sold as "AI receptionists" are chatbots with a phone number — worth checking before you buy.

Claude
An AI assistant made by Anthropic — the chat-window kind, comparable to ChatGPT. Good for thinking, drafting, and answering. It's also the engine inside Claude Code and Cowork, which is where it stops just talking and starts doing.

Claude Code
An AI assistant from Anthropic that works inside your computer instead of a chat window. Where regular Claude can only talk, Claude Code can do: read and organize files, run programs, connect to your business tools, and finish multi-step work you'd normally do by hand. The "code" in the name undersells it — owners use it for ops, content, and reporting.

CLI / terminal
A CLI (command-line interface) is a way of running a computer by typing commands into a window called the terminal, instead of clicking buttons. Think service entrance versus lobby — same building, more access. It's where Claude Code lives, and it's less scary than it looks.
Go deeper: What is Claude Code?
Context window
How much an AI can hold in mind at once during a conversation — its working memory. When a chat gets long enough, the earliest parts fall out, which is why the AI "forgets" what you said an hour ago. Bigger window, longer attention span.

Cowork
Anthropic's desktop app for handing Claude real work on your own computer — files, documents, projects — without using the terminal. Roughly: Claude chat is for thinking, Claude Code is for building, Cowork is for doing day-to-day work.

CRM (Customer Relationship Management)
The software that holds your customers, leads, and every conversation with them — the memory of your business. It matters here because a CRM is the tool AI agents most often read from and write to: a booked call means nothing if nothing logs it.

GEO (Generative Engine Optimization)
GEO is the work of getting your business named when someone asks ChatGPT, Perplexity, or Claude for a recommendation. Same goal as SEO — being found — but the judge is an AI deciding who to mention, and it weighs clear, structured, honest answers over domain size.

Hallucination
When an AI states something false with total confidence — a made-up statistic, a case that doesn't exist, a price it invented. It's not lying; it's pattern-completing without checking. The fix is grounding the AI in your real documents and keeping a human approval step on anything that ships.

LLM (Large Language Model)
The engine under every modern AI assistant — a system trained on enormous amounts of text until it can read, write, and reason in ordinary language. ChatGPT, Claude, and Gemini are all products built on LLMs. You'll never touch one directly, but it's the word vendors will use at you.

MCP (Model Context Protocol)
The open standard for connecting AI assistants to business tools. Before MCP, every AI-to-tool connection was custom wiring; MCP made it a standard plug — build the connection once, and any AI that speaks MCP can use it.
Go deeper: What is an MCP server?
MCP server
A standard connector that lets an AI assistant safely use one of your business tools — your calendar, your CRM, your files. Despite the name, it's usually just a small program on your own machine, not hardware you buy. You grant access tool by tool, so the AI touches only what you've allowed.

Obsidian
A free note-taking app that stores everything as plain text files on your own computer and lets you link notes together like a personal wiki. Plain files mean you own everything — no subscription hostage, no cloud lock-in. (The app, not the volcanic glass.)
Go deeper: What is Obsidian?
Plugin
The binder: a bundle of skills, commands, and tool connections you install once so Claude shows up already trained for your business. One install instead of re-teaching the AI every session. Vet before you install — you're handing the AI a stranger's instructions.

PRD (Product Requirements Document)
A written plan that describes what you're building, who it's for, and what "done" looks like — before anyone builds anything. It used to be a software-team ritual; now it's how you brief an AI builder so you get what you wanted instead of a confident guess.
Go deeper: What is a PRD?
Prompt
Whatever you type to an AI — the question, the instruction, the brief. Prompt quality drives output quality the way a work order drives a job: vague in, vague out. Skills exist largely so your best prompts get written once and reused instead of retyped.

RAG (Retrieval-Augmented Generation)
A setup where the AI looks things up in your actual documents before it answers, instead of leaning on memory alone. It's the difference between an employee who guesses and one who checks the file first — fewer hallucinations, answers grounded in your business.
Go deeper: What is Obsidian?
Second brain
One searchable place for everything you know — client notes, meeting history, SOPs — that you own outright. The "second brain" is the system; a tool like Obsidian is just where it lives. The payoff compounds when you connect AI to it: your assistant can now use everything you've ever noted.

SEO (Search Engine Optimization)
The work of getting your business ranked in Google's list of links. Thirty years old and still not dead — but it's now one of three games, alongside AEO (being the answer) and GEO (being the AI's recommendation). The good news: clear, structured, honest answers win in all three.
Go deeper: SEO vs. AEO vs. GEO
Skill
A set of written instructions that teaches Claude how to do a specific job your way — like an SOP you'd hand a new employee. Write it once and the AI does the task the same way every session: your invoice-chase emails, your report format, your voice.

Structured data / schema
Labels added to your website's code that tell machines exactly what each page is — a business, an article, an FAQ, a price. Invisible to visitors, load-bearing for AEO and GEO: engines cite what they can parse cleanly.
Go deeper: SEO vs. AEO vs. GEO
Token
The unit AI text is measured and billed in — roughly three-quarters of a word. You'll meet it in two places: pricing pages ("$X per million tokens") and limits (a context window is measured in tokens). That's all an owner needs to know.

Vibe coding
Building software by describing what you want in plain English and letting AI write the actual code. It's real, and it's how non-developers now get working tools built. The catch: describing what you want well is the hard part — which is why the PRD came back from the dead.
Go deeper: What is Claude Code?
Voice agent
An AI agent that works over the phone — it answers, holds a real conversation, qualifies the caller, and books the appointment. For a local service business, the after-hours voice agent is usually the first AI hire that pays for itself: the 7pm call gets booked instead of going to voicemail.
Go deeper: What is an AI agent?
Webhook
A message one tool automatically sends another the instant something happens — "form submitted," "payment received." Webhooks are the tap on the shoulder that starts an automation. If an API is a doorway, a webhook is the doorbell.
Go deeper: What is an MCP server?
Workflow automation
Chaining tools together so a multi-step process runs itself: form fill → CRM entry → confirmation text → calendar hold. Platforms like Zapier, Make, and n8n do the wiring. It's fixed-steps automation, not an agent — but it's often the right first move, and agents plug into it later.
Go deeper: What is an AI agent?
Zettelkasten
A note-taking method — German for "slip box" — where every idea gets its own small note, densely linked to related notes, so ideas resurface when they're useful instead of dying in folders. It's the great-grandfather of the second-brain approach and the reason linking is Obsidian's core feature.
